This notice explains how personal data is processed when users visit autoklar.eu or contact AutoKlar through the channels provided.

This notice is provided under Regulation (EU) 2016/679 (the GDPR).

2. Categories of data processed

The following categories of personal data may be processed through the website.

Data voluntarily provided by the user

When a user contacts AutoKlar by email, phone, WhatsApp or a form on the website, the following may be collected:

first name and surname;

company name or dealership;

email address;

telephone number;

information included in the enquiry;

details about the vehicle or requested service;

any other information voluntarily provided by the user.

The contact form prepares the summary in the browser. Selecting “Prepare summary” does not send the enquiry to AutoKlar or save it in a website database. The form code does not store its fields in localStorage or sessionStorage. Selecting “Open WhatsApp” includes the text in the WhatsApp link; selecting “Open email” passes it to the email application. The user completes the sending process in the chosen channel. “Copy message” copies the text to the device’s clipboard.

Please do not send personal data that is unnecessary for your enquiry.

Technical and browsing data

The systems used to operate the website may automatically process technical information necessary for internet communications and service security, such as IP addresses, device and browser characteristics, and technical information about requests made to the server.

The AutoKlar website code does not include visitor analytics, advertising pixels or remarketing tools. Images, videos and interface scripts are served by the website; fonts are those available on the device. This description concerns the website code and does not exclude technical data processed by the hosting infrastructure.

3. Purposes and legal bases for processing

Personal data may be processed for the following purposes.

Responding to enquiries

Data provided by the user is used to respond to information requests, business enquiries, vehicle sourcing or import enquiries and requests concerning AutoKlar’s services.

The legal basis is taking steps at the data subject’s request before entering into a contract, under Article 6(1)(b) GDPR.

Managing professional and business relationships

If an enquiry leads to a collaboration or professional relationship, the data may be used to manage communication, agreed activities and the resulting business relationship.

Processing is based on the contractual or precontractual relationship and, where applicable, compliance with legal obligations.

Website security and operation

Technical data may be processed to ensure the proper operation, security and protection of the website against misuse or fraudulent activity.

Processing is based on the controller’s legitimate interest in the security and reliability of its systems and services, under Article 6(1)(f) GDPR.

Compliance with legal obligations

Data may be processed when necessary to comply with obligations imposed by law, regulations or requests from competent authorities.

The legal basis is Article 6(1)(c) GDPR.

4. Providing personal data

Providing data by email, phone, WhatsApp or other contact channels is optional.

However, without the necessary information, it may not be possible to answer the enquiry or provide the requested service.

5. How data is processed

Personal data is processed using electronic and online tools, with reasonable and appropriate measures to protect it against unauthorised access, loss, disclosure, alteration or unlawful use.

Data is processed only for the purposes described in this notice.

6. Hosting and technical providers

The website is published through ChatGPT Sites, the hosting service managed by OpenAI. The hosting infrastructure may process technical information needed to deliver, operate and secure the website under the terms and agreements applicable to the service.

The controller may also use other providers strictly necessary for the technical management of the website, communications and professional services.

These providers may process data only to the extent necessary to perform their assigned services and in accordance with applicable personal data protection law.

7. WhatsApp and external services

If a user chooses to contact AutoKlar through WhatsApp or another third-party service, data processing by that platform is also governed by its own terms and privacy notices.

Using these services is optional, and AutoKlar can always be contacted directly by email. The b2b.autoklar.it portal is a separate service opened through a link: this notice describes the autoklar.eu presentation website.

8. Data transfers outside the European Economic Area

Some technology providers used by the website or related services may use infrastructure or subcontractors outside the European Economic Area.

Any international transfer of personal data will comply with the conditions established by the GDPR, using adequacy decisions, standard contractual clauses or other legal instruments recognised by applicable law.

9. Retention period

Data is retained only for as long as necessary for the purposes for which it was collected.

In particular:

contact enquiries are retained for the time needed to handle them and any subsequent professional relationship;

data relating to contractual or business relationships may be retained for the period required by applicable law;

data may be retained longer where necessary to establish, exercise or defend a legal claim.

Once the purposes of processing have ended, data is deleted, anonymised or retained only where required by law.

The website code does not save form entries in persistent storage. The browser may still use its own autofill or page recovery features. Interface preferences in localStorage have no expiry set by the website and remain until deleted or removed by the browser; preferences in sessionStorage are tied to the tab session.

10. Disclosure of data

Personal data is not sold.

Where strictly necessary, data may be disclosed to:

IT and hosting providers;

communication service providers;

advisers and professionals;

parties involved in providing the requested service;

public authorities or other parties where required by law.

Parties processing data on the controller’s behalf act as data processors where required.

11. Your rights

Where provided by the GDPR, data subjects may exercise their rights, including requesting:

access to their personal data;

correction of inaccurate data;

erasure of data;

restriction of processing;

data portability, where applicable;

objection to processing, where applicable;

withdrawal of consent where processing is based on consent.

12. Cookies and analytics

The website code uses localStorage to remember light or dark theme choices (autoklar-theme) and animation preferences (autoklar-motion-paused). sessionStorage is also used for animation preferences for compatibility with choices saved during the session. These values contain interface preferences, not enquiry text. AutoKlar’s code does not set advertising cookies or use these preferences for visitor analytics or profiling.

If third-party tools requiring consent are introduced in future, such as profiling, advertising or analytics tools using cookies or equivalent technologies, the measures required by applicable law will be adopted and this notice will be updated.
